How much does managed IT actually cost per user in New Zealand?
Here’s our own grid, at five fixed seat counts. These are real list prices, ex GST, not averages or ranges dressed up to look precise.
| Plan | 15 users | 30 users | 50 users | 100 users | 150 users |
|---|---|---|---|---|---|
| Starter T&M | $59 | $47 | $42 | $39 | $38 |
| Starter Unlimited : $105 | $99 | $96 | $95 | $95 | |
| Essentials | $136 | $125 | $122 | $118 | $118 |
| Complete | $168 | $152 | $146 | $141 | $140 |
| Premium | $210 | $184 | $174 | $166 | $165 |
Per seat, per month, ex GST. Pricing based on 01.09.26.
A few worked examples, since a table is easy to skim past: a 30-person business on Essentials pays $125 per seat, or $3,750 a month. A 50-person business on Complete pays $146 per seat, or $7,300 a month. A 150-person business on Premium pays $164 per seat, or $24,600 a month.
If your headcount sits between two of those anchors – say you’re a 40-seat business – read the 30-user and 50-user figures either side and you’ll see roughly where you land. We haven’t published a formula to interpolate exactly, because the rate doesn’t move in a straight line between seat counts, and pretending it does would be more precise than the pricing actually is.
Why does the price ease as you add more people?
A chunk of what it costs to run any account is fixed – onboarding, documentation, a baseline of tooling, some vCIO time – and that cost gets spread across however many seats you’ve got. More seats, same fixed cost, lower rate per seat. It’s not a volume discount in the retail sense, it’s just arithmetic.
Why do quotes for “the same thing” vary so much between providers?
This is worth answering directly rather than dodging, because it’s the honest objection to publishing a page like this at all.
One well-known Auckland-market competitor publishes a figure of “$75 to $180 per user per month” as what most New Zealand businesses pay – their claim, not an independent benchmark, and one you should weigh alongside ours rather than instead of it. Another has argued publicly that “a one-size-fits-all number quoted on a website isn’t honest.”
I get where that second one is coming from. A single number can’t account for whether you’ve got on-premises servers needing extra care, how many line-of-business apps you run, or what your security posture already looks like. But the alternative – refusing to publish anything and making everyone ring up for a quote – isn’t more honest, it’s just less useful. Our five-point grid is the closest thing to a straight answer we can give before we’ve actually looked at your environment, and it’s built from real prices, not a marketing range.
WHAT ACTUALLY MOVES A QUOTE UP OR DOWN
• Whether the helpdesk is local or routed offshore
• How long the exclusions list is
• Whether strategic account management (a vCIO, essentially) is bundled in or sold separately
• Whether the provider carries a real, checkable security certification or just says ``we take security seriously``
None of those show up in a single headline number, which is exactly why it’s worth asking about them before you compare two quotes side by side.

What else do you need to budget for beyond the per-seat fee?
The seat price above covers helpdesk access, device management and our baseline security stack – what’s actually in each plan is a big enough topic that it gets its own article. A few things worth knowing now, because they change what you actually pay:
Related: what's included in a managed IT fee, and what isn' →
Account management is sold separately, not bundled into the plan
All flat, per company, regardless of headcount.
- No chargeShared Account Team
- $420 / monthNamed Account Manager
- $1,140 / monthTrusted Advisor (lighter-touch vCIO)
- $1,910 / monthFull vCIO: security, continuity, compliance
Onboarding isn't a single figure either
The first month is billed at 50%, on any term, specifically to soften the period where you’re paying two providers at once.
- At costStraightforward cloud-only handover, nothing to fix
- $5,000 to $10,000Most onboardings, lifting management or security capability
- $10,000 to $20,000Complex: on-premises servers, or a cloud and Azure Virtual Desktop migration
Ad-hoc work outside the plan is billed hourly
- $165 / hourHelpdesk Support ($155 on Premium)
- $230 / hourSenior Consultant
- $260 / hourvCIO time bought as needed
- 1.5x / 2xAfter-hours and Saturday / Sundays and public holidays
And the plan fee doesn’t cover everything. Microsoft licences, project work, hardware, after-hours call-outs (unless you hold the add-on), and data migration out are all billed separately, same as most honest providers. If a quote you’re comparing ours to doesn’t mention any of that, ask what happens the first time you need it.
Does your price change if you grow or shrink?
It does, and we’ve built rules around it rather than leaving it to a renewal conversation. Grow by 10% or more in seats and your whole account moves to the better rate straight away, in contract. Shed staff but stay within 20% of where you were, and your per-seat rate holds – so your bill falls in line with your headcount without a repricing fight. Beyond a 20% drop, that’s a real conversation rather than an automatic step, because the fixed cost of running your account doesn’t disappear the moment someone hands in their notice.
Is there a cheaper way in, or a discount for particular businesses?
If you’re not ready for a full monthly plan, Starter T&M is pay-as-you-go – no monthly commitment, billed for what you actually use. Our practical minimum is around 10 seats; below that the fixed cost of running an account properly starts to outweigh what you’re paying for it, and I’d rather say that plainly than take you on and do it badly.
Not-for-profits get a discount of around 20% on most rates (a bit less on vCIO work, and the after-hours call-out fee doesn’t move). Worth asking about if that’s you.

Wrapping up
If there’s one thing worth taking from this, it’s that a real number is more useful than a promise to “tailor a solution for you” – even when the real number comes with a range attached. Ours is $38 to $210 a seat depending on plan and headcount, and now you know roughly where you’d land before you’ve had a single call with us.

Top 10 questions asked about managed IT pricing
Quick answers to the questions New Zealand businesses ask most about what managed IT costs. Each one is covered in more detail above.
1. How much does managed IT cost per user in New Zealand?
Between $38 and $210 per seat per month, ex GST, depending on plan and headcount. A 50-person business on our Complete plan pays $146 per seat, or about $7,300 a month. Prices ease as headcount grows because fixed account costs spread across more people.
2. What should a 50-person business pay for IT support?
On our grid, a 50-person business pays $42 per seat on Starter T&M, $96 on Starter Unlimited, $122 on Essentials, $146 on Complete and $174 on Premium, per month, ex GST. On Complete that's about $7,300 a month before anything sold separately.
3. Why does managed IT get cheaper per seat as you add people?
A chunk of what it costs to run any account is fixed - onboarding, documentation, baseline tooling, some vCIO time - and that cost spreads across however many seats you have. More seats, same fixed cost, lower rate per seat.
4. Do managed IT plans in New Zealand include Microsoft 365 licences?
No, not typically. Licensing, project work, hardware, after-hours call-outs and data migration out are usually billed separately from the monthly seat fee. Ask any provider for the exclusions list, not just the headline price.
5. Is there a minimum number of users for managed IT support?
Most providers, us included, have a practical floor - ours is around 10 seats. Below that, the fixed cost of doing the job properly tends to outweigh what a very small business is paying for it.
6. What's the difference between an Account Manager and a vCIO, cost-wise?
A named Account Manager runs $420 a month. A Trusted Advisor, a lighter version of a virtual CIO, is $1,140 a month. A full vCIO covering security, continuity and compliance is $1,910 a month. All are flat monthly fees, sold separately from the managed IT plan itself.
7. How much does onboarding with a new IT provider cost?
A straightforward cloud-only handover with nothing to fix typically runs at cost. Most onboardings, where management or security capability is being lifted, run $5,000 to $10,000. A complex one with on-premises servers or a cloud and Azure Virtual Desktop migration runs $10,000 to $20,000. The first month is billed at 50% to soften the overlap with your old provider.
8. Does the price change if we hire more staff or make redundancies?
Yes. Grow by 10% or more in seats and your account reprices to the better rate immediately. Lose staff but stay within 20% of your previous headcount and your per-seat rate holds, so the bill falls with you. Beyond a 20% drop it becomes a conversation rather than an automatic change.
9. Why do IT support quotes vary so much between providers for what looks like the same service?
Mostly because of what's not on the headline number: whether the helpdesk is local or offshore, how long the exclusions list is, whether strategic account management is bundled or separate, and whether security certifications are real and checkable. Ask about all four before comparing two quotes on price alone.
10. Is there a cheaper way to start, or a discount for not-for-profits?
Starter T&M is pay-as-you-go with no monthly commitment, billed for what you use. Not-for-profits get around 20% off most rates (a bit less on vCIO work; the after-hours call-out fee doesn't move). To price your own headcount, book a consultation with Lucidity.
